Compliance with internal security requirements is of crucial importance to Allianz. The secure storage and exchange of data was the deciding factor to choose Diamond Forms, Flows & Docs for their online forms.
Problem
Allianz Nederland partners with independent intermediaries and advisers who offer insurance on their behalf. New intermediaries sign up every year who want to offer Allianz products to their customers.
When a new intermediary registered with Allianz, a PDF document was previously filled in manually. This document was then manually validated at Allianz by various employees and departments throughout dozens of external organizations. A very time-consuming and expensive process that Allianz wanted to set up more efficiently.
Solution
The processing of new intermediaries is now largely done digitally. The PDF form has been replaced by an online Diamond form. During the completion of the application, many checks automatically take place via external systems. The details of the intermediary are validated by, among others, the Chamber of Commerce, the AFM and Sanction Platform. Legally required screenings are also performed immediately. The data is then forwarded to Allianz.
This new process puts significantly less pressure on the back office employees. While the checks initially took a few days, many checks now take place immediately when the form is filled in. This speeds up the process by 50%. In addition to faster answering of the request, there is now also time to optimize the service towards the intermediaries.
The possibilities to connect to external sources when retrieving or writing back data are endless. Store data entered by the form user in your own systems and pre-load form fields and show calculations by connecting to internal and external databases, Excel sheets and APIs.
You can specify in detail when data actions should be performed, making you fully in control.
You can easily drag questions onto your form using the intuitive form editor. By switching to the explorer, a structured overview of your form is immediately displayed. Questions, question sets, sections or entire pages are simply dragged and dropped within the form, copied with one mouse click, or saved as a set for other forms. You have direct access to all relevant form settings such as design, submission actions and sharing options.
All Diamond forms and responses are encrypted and unreadable by default. Encryption takes place automatically in the background.

Diamond makes it easy for your relations to add any attachments to a form. Optional or mandatory. Is it uncertain how many attachments your relation needs to add, for example for diplomas obtained? Then you can use the advanced Diamond settings to offer unlimited number of attachments to upload. You can easily set the maximum file size, the possible file types for an attachment, such as images, Word documents, or PDF documents, up to the text on the button.

Due to the intuitive interface of Diamond, the system can be used without a manual. The correct questions can easily be dragged onto the form and additional validations and checks can be set per question.

For the one time set up of the checks with external systems, Allianz called in the help of an experienced Diamond consultant. All connections have been set up and tested together on location at Allianz. By carrying out this step together, Allianz now has sufficient in-house knowledge to add new links itself.

During onboarding, Allianz asks the intermediary to send privacy-sensitive information, such as proof of identity. This type of data is already encrypted and stored illegally by Diamond. Allianz would like to go a step further and has expressed the wish to be able to remove attachments from a response when they are no longer needed. A nice functionality that has directly been added to the Diamond roadmap.
